What is a print server?

A print server is a high-powered device (or piece of software) that helps businesses or organisations manage files in a printing queue and facilitate the user/printer workflow. Simply put, a print server is the kind of server used for connecting printers and computers within the same network. Put even more simply, it's the server with which you access a printer through your computer (or series of computers). Because of these servers, each of your staff members can share the same printer to print their documents. Installing a print server means you can send all of your printing to one device rather than shell out for various machines to go around the office.

What are the advantages of having a print server?

Admin

From an admin perspective, a print server makes sense because print job requests go to the server rather than directly to the printer. The server will then form a queue of these print jobs, which makes it easier for the system administrator to manage resources better and update any printer settings as required.

Print status awareness

When you are working to a schedule, or to deadlines, it is of great benefit to know how much of your print job is complete and how much is left, and how long you will likely have to wait for the entire job to complete. A print server means this tracking is possible as it shows the print job status to the user who initiated. It will show how many pages have been printed so far, and the total number of pages to be printed.

Cost-Effectiveness and Productivity

A print server can ensure cost-effectiveness, as it means you can run with several people having access to the same printer - and therefore your hardware requirement can be scaled down to less printers. With a print server it is possible to manage queued jobs and manipulate the queue - an individual job can be moved backwards or forwards in the queue, or deleted entirely. This, of course, will have a knock-on effect on timings, and therefore increase productivity.
